Tasks

Tasks is the office’s list of callbacks and chase-ups: given to a person, tied to a client, property, job or invoice, with a due date, and kept when done with who finished them and when.

What Tasks Are

A task is one thing for someone in the office to do: ring a landlord back, order a part, chase an unpaid invoice, come back to a quote. Tasks, under Work in the sidebar, replaces the list that used to be called Follow-ups; everything on it came across, and the old address still opens it.

  • Each task has a title (up to 200 characters), notes (up to 2000), a due date (from 2000 up to ten years ahead; a date before today is allowed, for one that is already late, but is pointed out first, since it shows as overdue as soon as it is added), a priority (low, normal or high), and who it is given to.
  • A task is given to an owner or office user of your team, to yourself (Me, the default) or to Nobody. Anyone with access to tasks can give it to someone else later from the row.
  • Owners and office users see and manage tasks. Engineers and client viewers do not see them, whatever page they are on.
  • The old Follow-ups address redirects to Tasks, so bookmarks, search results and notifications still land.

The Tabs

  • Mine: open tasks given to you or to nobody, soonest due first, then by priority, then oldest. It opens first, and it is the list that Today’s tasks due today link and the Tasks card under Business overview count from. A line under the tabs reminds you that Mine holds tasks given to you and tasks given to nobody yet, and that Today counts the same two.
  • All: every open task in the workspace, including the ones given to nobody.
  • Overdue: open tasks past their due date.
  • Done: finished tasks, newest first, with Done by and the date. Each can be reopened, which clears who and when until it is finished again. A line under the tabs says finished tasks are kept as a record, and that to delete one you reopen it first and then use Delete.
  • Each tab shows its count. Under the title, Tasks says how many tasks are due today that are yours or nobody’s.
  • Search (Ctrl+K or Cmd+K) finds a task by its title and opens it on the tab it belongs to, outlined.

Adding And Working A Task

  1. 1Choose + Add task, type the title, set the due date and priority if they matter, choose who it is given to, add notes if useful, and Add task.
  2. 2Done marks it finished. Manifold records who marked it done and when, whatever the screen sends, and Reopen clears both.
  3. 3The give-to control on a row moves it to someone else, or to Nobody.
  4. 4Delete asks first. Finished tasks offer Reopen only; to clear one out, reopen it and delete it.

Adding A Task From The Record It Is About

A task is easier to find, and easier to act on, when it sits on the record it is about.

  • A client page, a property page, a job’s own page and an invoice page each have a Tasks card listing the open tasks about that record (and the last few finished), with Add task. On the detailed job list, a job’s row has Add task (under More on an open job), which opens the same small form beneath it.
  • A task added on an invoice is also about that invoice’s client, property and job; one added on a job is also about its property and client; one added on a property is also about its client. So it shows on each of those pages, and on the Tasks list as links you can follow.
  • Each task on the Tasks list shows the client, property, job and invoice it is about as links.

Records And Privacy

  • Adding, changing, giving a task to someone, finishing it, reopening it and deleting it are all recorded in the audit log (Task added, changed, given to someone, done, reopened, deleted). The log notes the task, never its title or notes, which are free text about a customer.
  • When a customer, a tenant or a landlord is erased (Settings, or the erase option on a client or property), the title and notes of every task about them are replaced with a plain marker. The task stays, with its due date, who it was given to, and whether and by whom it was done.
  • If Tasks has not been switched on for your workspace yet, the cards on the client, property, job and invoice pages simply do not appear.

Troubleshooting

Are tasks the same as follow-ups?

Yes. Follow-ups was renamed Tasks and gained people, links to records and tabs. Nothing was lost.

Do engineers get tasks?

No. Tasks are for the office. If an engineer needs to come back to a job, they say so on the job (Return visit needed) and the office books it.

Troubleshooting

  • I cannot see Tasks: it is for owners and office users. An engineer or a client viewer does not have it.
  • Give to does not list someone: tasks go to an active owner or office user of your team. An engineer cannot be given one.
  • The due date warning: a date in the past is allowed but is flagged before you save, because the task then shows as overdue straight away.
  • A task is missing from Mine: it is given to someone else; look under All.
