Notifications and reminders control how Manifold alerts a team, landlords and tenants, and when reminders escalate.

Notification Functions

Notifications and reminders in Manifold are how the product tells people things without anyone having to remember: an engineer hears about a new assignment, a landlord hears a renewal is approaching, and a tenant hears when their record is ready to view.

  • Email renewal reminders to landlords and letting agents as due dates approach and pass.
  • Device push to the assigned engineer when a check is assigned or reassigned, where notifications are enabled.
  • Tenant delivery of records via secure link.
  • Recipient and channel settings managed from Settings.

Getting Notifications and Reminders Right

The reminder tiers exist so compliance chasing does not depend on a person’s memory: they fire on a schedule regardless of who is busy that week, which only works if the underlying contact details are kept current.

  • Renewal reminders are on by default; confirm recipients before relying on them.
  • Keep contact details current so reminders and deliveries reach the right people.
  • Use the reminder tiers (60, 30, 7, overdue) as the backbone of compliance chasing.

Troubleshooting

  • Reminder not sent: check the setting, the recipient details, and the due date.
  • Tenant delivery missing: confirm the contact email and resend from the record.
  • Too many or too few notifications: review the notification settings for that event.

Least-Power Access

Give each person the least powerful role that still lets them do their job. It keeps client data controlled and keeps the audit trail meaningful.

  • Use the engineer role for field staff; do not grant office controls they do not need.
  • Use client portal users for landlords and agents rather than sharing office credentials.
  • Give everyone their own account so records, approvals, and changes stay attributable.
  • Deactivate leavers instead of recycling their account for someone new.
