Client Portal

The client portal gives landlords and letting agents access to their records, renewals and open actions, and lets them approve quotes.

A client user will see

  • Delivered gas safety records for their properties.
  • Property information such as address and appliance register.

Portal users see only the clients they have been granted on the client’s Access card, and a record appears there as soon as it is generated.

Client Portal Functions

The client portal in Manifold is the home landlords and letting agents get onto their own records, renewals and open actions, without needing an office login, a phone call, or an emailed PDF every time they want to check status.

  • Client users get read-only access to their properties, generated records, upcoming renewals, and open actions, with a print view of each record.
  • The portal opens on Compliance: counts of compliant, due soon and overdue properties, Work approvals for quotes awaiting a decision, each property with its latest CP12, upcoming renewals and open actions. A client login always lands here.
  • Portal visibility is controlled per client from the Access panel on the client record: grant a client viewer View only on that client and they see its properties, records and open actions.
  • Portal routes show client-safe views, not internal review or scheduling controls.
  • Clients can accept or decline quotes shared with them, and the decision is recorded for the office; see Quotes and Card Payments.
  • Access is scoped by the client relationship and the organisation, matching the client role described in Roles and Permissions.

Setting Up Client Portal Access

Portal access is meant to replace repeated one-off sharing, not sit alongside it: once a client user is invited and their visibility is set correctly, they can check their own status at any time instead of asking the office for an update.

  • Invite the client user from Settings, then Team, with the Client / agent role, then grant them View only on the client record’s Access panel.
  • Use portal access for ongoing visibility rather than sending individual links each time.
  • Review visibility before inviting, because the portal is client-facing by design.
  • Records reach the portal as soon as the office generates them from a completed check; delivery to the tenant or client is a separate step, see Records Delivery.

Troubleshooting

  • Client sees too little: check the Access panel on the client record grants their user View only, and that the properties are assigned to that client.
  • Client sees stale data: confirm the latest record has been generated after the change.
  • Client cannot sign in: confirm the invite and that the user belongs to the right client.
