Import your data from Gas Engineer Software

Before You Start

Importing your data from Gas Engineer Software is a straightforward move: Manifold imports the file Gas Engineer Software gives you, and you do not reformat anything. The switch reuses the standard CSV importer, so nothing is written until you confirm a preview, duplicates are handled for you, and any import can be undone in one click. Run it as an office user who can check the result, and keep Gas Engineer Software running read-only until you are happy with what landed.

• What comes across: your customers (into Clients) and your job addresses (into Properties), including each property’s gas-safety due date.
• What to have ready: a customer CSV and a job-address CSV exported from Gas Engineer Software (ask their support if you cannot self-export).
• You do not need to rename columns. Manifold maps Gas Engineer Software’s headers onto its own. Headers vary by account, so check the preview and tell us if a column did not map.
• Appliance registers are not part of the Gas Engineer Software import. Add them with the standard Appliances template or build them up as you work. See CSV Imports and Templates.

Export Your Data From Gas Engineer Software

1. 1In Gas Engineer Software, export your customers to CSV.
2. 2Export your job addresses (properties) to CSV, including the gas-safety / CP12 due-date column if it is offered.
3. 3If you cannot export a file yourself, ask Gas Engineer Software support for your data; they provide it on request.
4. 4Save both files somewhere you can find them. You will import the customer file first, then the job-address file.

Import Customers First, Then Properties

Import in dependency order: customers first, then properties. A property links to its landlord by the customer name, so the customers need to exist first.

1. 1Open Clients, then choose Import CSV.
2. 2Switch the format toggle from “Standard CSV” to “Gas Engineer Software”.
3. 3Drop in your customer export. Manifold maps the columns and shows a preview. Review it, then import.
4. 4Open Properties and repeat: Import CSV, choose “Gas Engineer Software”, drop in your job-address export, review the preview, then import.

Read the Dry-Run Preview

Nothing is saved until you press Import. The preview is your safety net: it shows exactly what will happen, row by row.

• Rows ready to import are counted at the top; rows with errors are listed as “will be skipped”, so a few bad rows never block the good ones.
• Properties you already have are matched by address. Choose “Skip duplicates” to leave them, or “Update existing” to refresh them from the file.
• Each error names the spreadsheet line and the problem (for example a date that could not be read), so you can fix the source and try again.
• A file with more rows than the preview shows (the first 200) still imports in full. The preview just lists the first 200.

Your Renewal Dates Come Across

This is the part that makes a migrated portfolio useful on day one. When you import properties, each property’s last-check and next-due dates come with it, so renewal reminders and the due-soon and overdue worklists start working immediately, instead of every date having to be re-keyed by hand.

• Dates are read UK day-first: “03/12/2025” is 3 December, not 12 March. ISO dates (YYYY-MM-DD) work too. A date that cannot be read is flagged in the preview rather than guessed.
• A freshly imported portfolio starts quiet: Manifold does not fire a backlog of overdue reminder emails at your landlords on day one. Reminders resume from the correct point, not from scratch.
• Once imported, due-soon (30 days) and overdue properties appear on the dashboard, and the 60, 30 and 7-day reminder emails pick up automatically.

Undo and Re-Import Safely

• Every import can be undone: the result screen has an “Undo this import” button that removes exactly the rows that batch added.
• To fix a file, undo (or skip duplicates), correct the source CSV, and import again.
• Re-importing properties is safe: matching on address lets you skip or update rather than duplicate.

Bring Your History Across Too

Customers and properties get the renewals working; history makes the workspace trustworthy from day one. Two further imports carry your paper trail across.

• Certificate PDFs: upload old certificates in bulk at Properties, then Certificates. Files are matched to properties by file name, and anything that cannot be matched waits in a review list for you to assign by hand.
• Matched certificates appear in each property’s certificate archive, so the history sits next to the new records Manifold generates.
• Invoice history: import a CSV of past invoices from the Invoices page, so paid and overdue states stay visible after the switch. See Invoice History.

Run in Parallel Until You Are Happy

• Keep Gas Engineer Software read-only while you settle in. Do not cancel it until you have verified Manifold against it.
• Spot-check a sample of customers and properties after importing, and confirm a few renewal dates look right on the dashboard.
